Description

  • Support the Chief of Staff in coordinating cross-functional initiatives across Clinical, Regulatory, Commercial, Finance, Technology, and Operations.
  • Develop and maintain project plans, timelines, trackers, and documentation for executive strategic initiatives.
  • Own the cadence of recurring executive meetings by building agendas, capturing action items, and tracking follow-through.
  • Prepare status reports, dashboards, and summary materials for the Chief of Staff and executive leadership.
  • Support IPO-readiness workstreams, including document tracking, governance checklists, and milestone follow-up.
  • Coordinate logistics and materials for Board meetings, investor updates, and other executive engagements.
  • Identify risks, bottlenecks, and dependencies, and escalate issues with recommended next steps.
  • Maintain organized tracking systems that support consistency, accountability, and audit-readiness.
  • Conduct lessons-learned reviews at the close of key initiatives.
  • Support special projects and process improvement efforts as directed by the Chief of Staff.

Requirements

  • BA/BS in business, engineering, life sciences, or a related field, or equivalent practical experience.
  • 2–4 years of experience in project management, program coordination, business operations, or a related role.
  • Experience in biotech, medical device, pharmaceutical, healthcare technology, or another high-growth regulated environment is a plus.
  • Experience in consulting is a plus.
  • Strong organizational skills with the ability to manage multiple workstreams and competing priorities simultaneously.
  • Excellent written and verbal communication skills, with the ability to prepare clear, polished materials for senior leadership.
  • Proficiency with project management and productivity tools such as Asana, Smartsheet, MS Project, Excel, and PowerPoint.
  • High attention to detail, discretion, and sound judgment in handling sensitive and confidential information.
  • Demonstrated ability to work cross-functionally and drive accountability among stakeholders without formal authority.
  • Comfort operating in a fast-paced, dynamic environment with evolving priorities.
  • Prior exposure to FDA-regulated environments (21 CFR 820, ISO 13485) or IPO-readiness activities is a plus.
  • PMP, CAPM, or equivalent project management certification is a plus.
