Description

  • Capture leads from all channels and enter them accurately into Stageforce/CRM.
  • Organize, categorize, and track inbound leads so none are lost.
  • Respond to new leads quickly, ideally the same day or next day, to keep them engaged.
  • Call or follow up with leads after form submissions to gather missing information and make first contact.
  • Qualify and filter leads so the business owner only spends time on strong-fit prospects.
  • Create soft proposals in Canva using the provided template and criteria.
  • Send proposals and manage follow-up communication after proposals are sent.
  • Track accepted proposals and support next steps once clients sign and pay.
  • Handle contract renewal outreach for staged homes nearing end dates, including extension invoicing or destaging pickup coordination.
  • Support basic invoicing, admin follow-up, and potentially light landing page/Shopify tasks for a future product line.

Requirements

  • Experience in customer service aligned with a luxury brand experience.
  • CRM experience is required.
  • Some sales administration experience is required.
  • Strong communication skills on calls without sounding overly salesy.
  • Familiarity with Stageforce is preferred, though not required.
  • Basic invoicing experience is preferred.
  • Comfort with pulling reports and basic data handling is preferred.
  • Familiarity with AI tools, including Claude, is preferred.
  • Ability to assist with light landing page or Shopify setup is preferred.
  • Experience with Stageforce, Canva, Outlook, QuickBooks, eSignly, and Shopify is relevant to the role.
  • Availability for part-time work, 20 hours per week, during the 10 AM Pacific Time schedule.
  • English proficiency level must be provided in the application, and the resume must follow the Coconut VA profile template in English.
