Description

  • Track and monitor pending patient referrals after submission.
  • Contact specialist offices via phone, fax, and secure portals to verify referral status.
  • Follow up on outstanding referrals and appointment requests.
  • Investigate scheduling obstacles and referral delays.
  • Identify alternative providers when specialists are unavailable or unable to accept patients.
  • Communicate updates and next steps to patients as needed.
  • Use internal resource guides to locate appropriate specialists.
  • Maintain accurate records and documentation within internal systems.
  • Collaborate with Scheduling Coordinators and other team members to improve workflow efficiency.
  • Cross-train across multiple coordination functions to support team needs.

Requirements

  • Previous experience in customer service, call center operations, administrative support, medical reception, or healthcare coordination.
  • Strong verbal communication and phone skills.
  • Excellent organizational and multitasking abilities.
  • Ability to work independently and manage follow-up activities without constant supervision.
  • Strong problem-solving mindset and attention to detail.
  • Comfortable learning new systems and processes.
  • Reliable internet connection and ability to work remotely.
  • Experience working in a medical office or healthcare environment is preferred.
  • Familiarity with referral management or appointment scheduling is preferred.
  • Experience communicating with healthcare providers and clinics is preferred.
  • Understanding of insurance-related scheduling challenges is preferred.
  • Knowledge of healthcare administrative workflows is preferred.
