Description

  • Perform general administrative duties including data entry, data verification, reports, and correspondence.
  • Create and maintain digital and hardcopy customer files.
  • Prepare shop repair estimates and set up estimates and appointments with outside vendors and sublet services.
  • Order and track parts for mechanic and body shop repairs based on approved estimates and repair orders.
  • Post repair, parts, and billing transactions in V-Trace and update estimates in the ADESA Inspections Portal.
  • Communicate with other departments to ensure repair transactions are authorized.
  • Respond to customer inquiries related to vehicles and process customer transactions.
  • Process vendor payments, scan and audit invoices, and support parts and service payment workflows.
  • Meet monthly and year-end supply inventory reporting deadlines and assist with shop inventory.
  • Support safety and compliance by following company policies, procedures, and applicable laws and maintaining safe shop conditions.

Requirements

  • High school diploma or GED preferred.
  • 1+ years of administrative experience required; 2+ years required for Clerk III.
  • Auction knowledge and experience preferred.
  • Proficient computer skills required; Google Suite experience preferred.
  • Strong interpersonal and communication skills with the ability to interact positively with others.
  • High level of organization, accuracy, multitasking ability, and problem-solving aptitude.
  • Ability to create estimates and understand vehicle components, parts, and labor times.
  • Experience verifying parts and labor times in Alldata / Mitchell; proficiency required for Clerk III.
  • Must be at least 18 years old with a valid driver’s license and a driving record that meets company requirements.
  • Must be able to read, write, and communicate effectively in English.
  • Ability to adapt to changing work environments and exposure to heat, cold, weather, noise, fumes, odors, and dust.
  • Hiring is contingent on passing a complete background check, and the role is not eligible for visa sponsorship.
