Description

  • Oversee vendor and contract management for MSAs, SOWs, consulting agreements, and advisory board contracts.
  • Partner with Legal, Compliance, Procurement, and Finance to ensure timely execution, vendor performance tracking, and compliance with budget requirements.
  • Support Medical Affairs governance, planning, reporting, and review processes while maintaining audit-ready documentation.
  • Track key deliverables and maintain standardized tools, templates, and trackers across franchises.
  • Develop and improve operational processes, tools, dashboards, and reporting mechanisms to increase efficiency, visibility, and scalability.
  • Facilitate regular Medical Affairs planning, prioritization, and progress review meetings.
  • Provide operational support for medical congress planning, deliverables, and follow-up activities.
  • Support logistics, documentation, and post-meeting outputs for advisory boards.
  • Support Medical Affairs budget planning, tracking, forecasting, accruals, and financial reporting.
  • Monitor spend against approved medical plans, identify budget risks and opportunities, and help scale operations as teams grow.

Requirements

  • Bachelor’s degree required; advanced degree such as MPH, MS, PharmD, or PhD is a plus.
  • 5+ years of experience in Medical Affairs operations or project management.
  • Experience supporting Medical Affairs in biotech or pharmaceutical settings, preferably in rare disease.
  • Strong project management skills with the ability to manage multiple workstreams simultaneously.
  • Demonstrated ability to lead cross-functional initiatives in a matrixed pharmaceutical or biotechnology environment.
  • Proficiency with project management and collaboration tools such as Smartsheet, MS Project, Teams, and SharePoint.
  • Strong understanding of contract lifecycle management and vendor oversight processes.
  • High attention to detail with excellent organizational and documentation skills.
  • Strong interpersonal and communication skills with the ability to work effectively in matrixed teams.
  • Comfort working with ambiguity in a fast-growing organization.
