Description

  • Track mortgage payments across a rental property portfolio and follow up to keep accounts current.
  • Monitor rent payments for self-managed tenants and flag late or missing payments for escalation.
  • Maintain organized records across roughly 7 property managers and 50 rental units in Google Sheets.
  • Manage the owner’s email inbox by organizing, labeling, and responding where appropriate.
  • Manage the owner’s calendar and scheduling.
  • Make and take calls with vendors, utility providers, and service companies to coordinate turnovers and utility changes.
  • Provide general executive assistant support across construction, property management, franchise acquisition, and recording studio activities.
  • Coordinate documentation and next steps with outside professionals to keep projects moving forward.
  • Help build a simple, reliable system for tracking tenant and mortgage payments with a path toward dedicated software later.

Requirements

  • Prior experience as a VA or EA, ideally with exposure to real estate, property management, or small business operations.
  • Comfortable making and taking phone calls with vendors and service providers.
  • Highly organized and able to manage multiple competing priorities for one principal.
  • Proficient in Google Workspace, including Sheets, Gmail, and Calendar.
  • Discreet and dependable when handling sensitive financial information.
  • Comfortable working in an evolving, ambiguous role.
  • Able to work Eastern Time hours.
  • Experience with real estate or property management is preferred.
