Description

  • Coordinate and schedule interviews between candidates and hiring managers in a timely, professional manner.
  • Manage scheduling across multiple active requisitions and keep hiring activity organized in the ATS.
  • Proactively communicate with candidates to confirm logistics and keep them informed throughout the process.
  • Prepare, review, and send accurate offer letters in coordination with the recruiting team.
  • Initiate and track background checks and drug screenings for incoming hires through Checkr.
  • Monitor compliance status and follow up to prevent delays in the onboarding pipeline.
  • Maintain accurate records to support compliance tracking and audit requirements.
  • Serve as a responsive and empathetic point of contact for candidates throughout the hiring process.
  • Deliver clear, warm, and professional candidate communications that reflect the employer brand.
  • Ensure candidates feel respected, informed, and valued regardless of hiring outcome.

Requirements

  • 1–3+ years of experience in recruiting coordination, HR operations, or a similar role in a fast-paced environment.
  • Exceptional attention to detail and accuracy in high-volume administrative work.
  • Strong written communication skills for professional, warm candidate-facing messages.
  • Ability to independently manage multiple priorities and meet tight deadlines without sacrificing quality.
  • A genuine sense of empathy and a candidate-first mindset.
  • Comfort operating autonomously with minimal oversight and knowing when to escalate.
  • Familiarity with an Applicant Tracking System (ATS); experience with Rippling preferred and Greenhouse also accepted.
  • Experience with pre-employment compliance processes, including background checks and drug screenings; familiarity with Checkr is a strong plus.
  • Experience supporting clinical or healthcare hiring is a plus, but not required.
  • Ability to pass a background check.
  • Must live in and be eligible to work in the United States.
  • An established private work area that ensures information privacy.
  • Reliable internet capable of low-latency video and voice calls.
  • Willingness to come to on-site meetings multiple times per year for interviews, onboarding, and team meetings.
  • This is a temporary employee role with an anticipated duration of 3 months.
