Description

  • Manage the founder’s calendar, travel, bookings, appointments, and follow-ups across changing priorities.
  • Anticipate needs and resolve logistics before they become urgent or distracting.
  • Coordinate events, dinners, client meetings, team offsites, launches, and other high-touch hospitality moments.
  • Research options, speak with suppliers, compare costs, and manage timelines for requests such as gifts, merch, venues, trips, and events.
  • Handle sensitive information, personal details, and business context with discretion and sound judgement.
  • Communicate clearly with senior stakeholders, suppliers, clients, venues, friends, and internal teams.
  • Make practical recommendations and take ownership of tasks without requiring constant direction.
  • Keep the founder’s life calmer, lighter, and better organized by reducing open loops and smoothing day-to-day operations.
  • Work flexibly across business, travel, events, and personal logistics in a UK timezone.

Requirements

  • Experience supporting busy people or operating in high-expectation environments where organization, discretion, and follow-through were essential.
  • Background in one or more relevant roles such as executive assistant, personal assistant, founder assistant, events coordinator, operations assistant, private PA, hospitality/concierge, or high-end client services coordinator.
  • Experience managing diaries, travel, bookings, appointments, follow-ups, and shifting priorities.
  • Experience planning or supporting events such as dinners, client events, conferences, team offsites, launches, community events, or hospitality experiences.
  • Strong judgement, excellent organization, emotional intelligence, good taste, and a genuine enjoyment of making life run smoothly for someone else.
  • Ability to research options, compare costs, manage suppliers, and get ideas over the line with minimal direction.
  • Understanding of London and its key areas, restaurants, and venues.
  • Ability to work in a UK timezone and travel to London, the UK, or Europe when needed.
  • Remote-based candidates are welcome if they are exceptional, highly organized, and able to collaborate effectively from anywhere.
