Description

  • Coordinate interview scheduling, candidate records, onboarding requirements, and recruiting pipeline logistics.
  • Support candidate interviews, including screening calls and interview panels.
  • Maintain training, certification, performance, coaching, and PIP documentation and records.
  • Track driver performance metrics, department reports, and trends requiring attention.
  • Monitor shared email queues and coordinate driver communications, including email, text, and newsletters.
  • Monitor live Dedicated Driver orders and milestones, identifying discrepancies before they affect customer visibility.
  • Coordinate driver equipment orders and shipment, including uniforms, badges, and placards.
  • Partner with recruiting, training, and regional management stakeholders to prepare schedules and documentation.
  • Escalate documentation gaps, missed deadlines, and complex scheduling cases while maintaining confidentiality.
  • Improve workflows, templates, reporting, and training-tracking processes; mentor new Operations Coordinators as needed.

Requirements

  • 3+ years of experience in an administrative, coordinator, or operations support role, ideally in recruiting, training, or field management.
  • Strong attention to detail when managing schedules, records, documentation, and performance data.
  • Experience with Salesforce, an ATS, or an LMS, or willingness to learn these systems.
  • Excellent written communication and ability to summarize data clearly across multiple stakeholders.
  • Self-directed, proactive, and comfortable managing competing priorities.
  • Ability to work effectively in a remote, cross-time-zone team environment.
  • Discretion and sound judgment when handling confidential candidate and personnel information.
  • Ability to manage a high-volume or complex caseload with minimal oversight.
  • Experience mentoring or supporting junior team members.
  • Experience improving administrative processes, scheduling workflows, or documentation systems and handling ambiguous escalations.
