Description

  • Monitor the Practice Fusion EHR daily to verify that therapists’ notes are entered and signed.
  • Alert the clinic owner immediately when notes are missing, incomplete, or unsigned.
  • Receive daily visit confirmations from the doctor or nurse practitioner and relay them to billing staff and the owner.
  • Ensure therapist notes are delivered to the biller by the 2:00 PM daily deadline to support timely claim submission.
  • Maintain tracking systems for documentation completion, billing notifications, and follow-up actions.
  • Review monthly patient documentation folders by group home to confirm required files are present and organized.
  • Check patient records for required documents such as face sheets, psychosocial documents, and treatment plans.
  • Coordinate communication between providers, the virtual assistant, billing staff, the clinic owner, and other internal team members.
  • Follow up with providers and internal staff on incomplete documentation and administrative tasks.
  • Prepare reports, spreadsheets, and documentation trackers to support operational accountability.

Requirements

  • Healthcare administrative experience, preferably in mental health or outpatient settings.
  • Experience using Practice Fusion EHR or a similar electronic health record system.
  • Strong attention to detail and organizational skills.
  • Ability to create and maintain simple tracking systems.
  • Proactive communication style with the ability to flag issues without being prompted.
  • Ability to work independently with minimal supervision in a remote environment.
  • Reliable, accountable, and consistent with follow-through.
  • Comfortable communicating through text updates and quick operational reports.
  • Must speak and write English very clearly.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, webcam, and a quiet professional workspace.
