Description

  • Convert referrals and patient inquiries into scheduled appointments by making outbound follow-up calls.
  • Manage high-volume inbound patient calls about test results, medications, prescriptions, appointments, and general medical concerns.
  • Document patient interactions accurately in the EHR system and route messages to providers when needed.
  • Coordinate diagnostic orders and send required documentation to hospitals, imaging centers, and diagnostic facilities.
  • Retrieve and communicate appropriate test results to patients and close related tasks in the chart.
  • Review medication records, confirm prescription status, contact pharmacies, and help cancel outdated prescriptions.
  • Assess patient symptom calls to determine whether to schedule, message the provider, or escalate urgent concerns.
  • Monitor voicemail transcriptions and follow up with patients by phone or text to ensure timely responses.
  • Work closely with patients, hospitals, pharmacies, and diagnostic centers while maintaining professional and empathetic communication.

Requirements

  • At least 1 year of experience in healthcare administration, medical office support, or clinical call handling in a remote healthcare support role.
  • Preferred experience in a gastroenterology clinic or similar specialty practice.
  • Background in medical assisting, nursing, or clinical support is preferred.
  • Experience with patient scheduling, clinical call triage, and high call-volume multitasking in a clinical environment.
  • Strong familiarity with medical workflows, patient communication, and Electronic Health Record (EHR) systems.
  • Proficiency with iPhone, AllWorx, Modernizing Medicine GI, Clara AI, PanOptics, and Microsoft Teams is preferred.
  • Excellent English speaking and writing skills with a clear, professional phone presence.
  • Strong attention to detail, organizational skills, and problem-solving ability.
  • Ability to work independently, follow structured workflows, and adapt to new tools and workflow changes.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, webcam, and a quiet professional workspace are required.
  • Bilingual Spanish and English is a plus, but strong English communication is required.
  • Must have or be willing to use an iPhone for the AllWorx phone system.
