Description

  • Handle a high volume of patient calls, referrals, inquiries, and appointment follow-ups.
  • Schedule, confirm, and track patient appointments while coordinating therapist availability.
  • Communicate with insurance companies about coverage, claims, prior authorizations, and approvals.
  • Process insurance claims and assist with credentialing-related documentation.
  • Apply ICD-10, CPT, and HCPCS coding for accurate claim submission.
  • Convert therapy units into billable hours and monitor billable-hour targets for scheduling and billing.
  • Create and maintain Excel-based trackers for schedules, authorizations, billing hours, and patient records.
  • Organize, analyze, and update operational data using Excel formulas, sorting, filtering, and pivot tables.
  • Maintain patient records and communications in compliance with healthcare confidentiality requirements.
  • Provide general administrative support, including document processing, correspondence, remote monitoring coordination, and candidate interview scheduling.

Requirements

  • At least 1 year of experience in a similar role such as Medical Receptionist, Billing Specialist, Patient Coordinator, or Medical Administrative Assistant.
  • Knowledge of medical billing, insurance verification, and claims processing.
  • Experience communicating with insurance providers about claims, coverage, or authorization requests.
  • Familiarity with credentialing processes and prior authorization procedures.
  • Familiarity with medical coding standards, including ICD-10, CPT, and HCPCS.
  • Spanish-speaking preferred in a bilingual environment.
  • Strong scheduling skills and the ability to manage a high volume of calls and referrals.
  • Experience with TheraBill or similar systems, or strong scheduling system proficiency.
  • Proficiency in Excel, including formulas, data organization, and reporting.
  • Ability to convert therapy units into billable hours and apply this in scheduling and billing.
  • Strong attention to detail and the ability to double-check work for accuracy.
  • Clear English communication and strong organizational skills.
  • Ability to handle sensitive patient information with confidentiality and professionalism.
  • NBI Clearance and/or Local Police Clearance required before onboarding.
  • Availability to attend video meetings with camera on when required.
  • Reliable laptop or desktop, stable high-speed internet (minimum 25 Mbps), noise-canceling headset, webcam, and a quiet professional workspace.
