Description

  • Manage the clinical inbox in Athena EHR, including patient messages, test results, provider communications, and prescription refill requests.
  • Process prior authorizations and benefit verifications accurately and efficiently.
  • Follow up on lab and imaging results to confirm completion and ensure proper documentation.
  • Organize incoming faxes and match them accurately to patient charts.
  • Conduct outbound calls to patients for follow-ups, clarifications, and status updates as needed.
  • Maintain accurate, timely documentation in the EHR system.
  • Support provider workflows by completing clinical tasks promptly and minimizing delays in patient care.
  • Coordinate care and monitor pending clinical items to ensure timely action on labs, imaging, and prescriptions.

Requirements

  • Licensed healthcare professional such as an RN, Pharmacist, or similar.
  • Previous experience as a Medical Virtual Assistant supporting a U.S.-based practice.
  • HIPAA certification.
  • Hands-on experience with Athena EHR.
  • Strong understanding of U.S. healthcare systems and workflows.
  • Excellent written and verbal English communication skills.
  • High attention to detail and ability to manage multiple clinical tasks efficiently.
  • Experience using RingCentral or similar VoIP systems.
  • Familiarity with insurance portals and payer requirements.
  • At least 1–2 years of relevant experience in clinical inbox management, prior authorizations, benefit verification, and lab/imaging follow-ups.
  • Must be able to speak and write English very clearly.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer required.
  • High-speed internet connection of at least 10 Mbps required.
  • Noise-canceling headset required.
  • Webcam required for virtual meetings.
  • Quiet, professional workspace required.
