Description

  • Answer and manage a high volume of incoming patient calls professionally and efficiently.
  • Route calls based on patient needs, including medication refills, referrals, and scheduling.
  • Monitor voicemail and ensure no patient concern or message goes unanswered.
  • Provide occasional after-hours and weekend voicemail support for urgent patient concerns.
  • Schedule and confirm patient appointments.
  • Verify insurance eligibility and benefits and upload insurance documentation into the system.
  • Follow clinic workflows and maintain accurate documentation standards.
  • Follow up on patient concerns and insurance-related issues.
  • Support general front desk administrative workflows remotely.
  • Maintain HIPAA compliance and patient confidentiality at all times.

Requirements

  • Previous healthcare or medical office experience is required.
  • Experience with insurance verification and eligibility checks is required.
  • Prior virtual assistant or front desk experience is preferred.
  • Fluent in both Spanish and English is non-negotiable.
  • Strong verbal and written communication skills are required.
  • Familiarity with medical terminology and healthcare workflows is required.
  • Experience handling patient calls and scheduling is required.
  • Knowledge of insurance documentation and eligibility processes is required.
  • Comfortable learning and navigating EHR/EMR systems; Office Ally or similar systems is preferred.
  • Able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, webcam, and quiet professional workspace are required.
