Description

  • Conduct outbound and cold calls to prospective patients, qualify leads, address objections, and convert qualified leads into booked appointments.
  • Follow up with leads through nurturing and re-engagement sequences.
  • Respond to patient inquiries by phone, email, chat, and text in English and Spanish.
  • Schedule, reschedule, and coordinate appointments while maintaining accurate calendars.
  • Document calls, conversations, follow-ups, outcomes, and appointment statuses in the CRM.
  • Track lead sources, conversion activity, and performance against sales and appointment-setting KPIs.
  • Coordinate outreach with marketing campaigns and assist with campaign and lead-source reporting.
  • Provide clear, empathetic, and professional communication throughout every patient interaction.
  • Maintain patient confidentiality and handle protected health information securely across all communication channels.

Requirements

  • Fluent professional communication in Spanish and English, including clear written and spoken English.
  • Relevant experience in sales, cold calling, appointment setting, lead generation, lead conversion, healthcare, dental, or a similar results-driven role.
  • Experience qualifying, nurturing, and following up with leads.
  • Strong persuasive communication, active listening, objection-handling, and relationship-building skills.
  • Ability to manage multiple leads and conversations while maintaining accurate records.
  • Strong organization, time management, attention to detail, resilience, and follow-through.
  • Comfort working toward measurable sales, appointment-setting, conversion, and other KPIs.
  • Ability to align outreach with marketing campaigns and adjust strategies based on performance coaching.
  • Understanding of HIPAA requirements and patient confidentiality.
  • Preferred: Dental or healthcare sales, dental appointment coordination, dental terminology, dental insurance, or Dental Virtual Assistant experience.
  • Preferred: Experience with Open Dental, Dentrix, Eaglesoft, CRM platforms, or VoIP/cloud phone systems.
  • Must provide NBI Clearance and/or Local Police Clearance before onboarding.
  • Must work Saturdays and Sundays, 10 hours per day, for 20 hours per week, and attend camera-on video meetings when required.
  • Must have a reliable computer, webcam, noise-canceling headset, quiet workspace, and internet speed of at least 25 Mbps.
