Description

  • Answer inbound calls and serve as the primary point of contact for patients.
  • Call, text, and email patients with appointment reminders, updates, and follow-ups.
  • Schedule, reschedule, and confirm appointments to help reduce no-shows.
  • Handle voicemail follow-ups and return patient calls promptly.
  • Respond to patient questions about insurance, copays, and appointments.
  • Provide pre-appointment instructions, including medication reminders, when needed.
  • Manage new patient referrals, bookings, authorizations, and insurance eligibility checks.
  • Process and organize patient documents, records, and e-fax referrals.
  • Conduct outbound confirmation and courtesy reminder calls before appointments.
  • Maintain accurate, organized administrative workflows and support day-to-day office tasks.

Requirements

  • Bilingual in English and Spanish is required for patient communication.
  • Strong phone etiquette and professional communication skills are required.
  • Solid understanding of medical terminology, with ophthalmology preferred.
  • High attention to detail, especially for insurance and documentation tasks.
  • Experience with scheduling, patient coordination, and administrative workflows.
  • Familiarity with insurance processes, authorizations, and e-fax systems.
  • Comfortable using practice management systems and communication tools.
  • Ability to learn platforms such as Medics Premier, Weave, or similar systems quickly.
  • Background in healthcare, such as Medical Assistant, Medical Receptionist, or a similar role, is preferred.
  • Experience in high-call-volume or fast-paced clinic environments is preferred.
  • Must speak and write English very clearly.
  • Must have relevant work experience.
  • Must be able to provide NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, webcam, and a quiet professional workspace are required.
