Description

  • Manage calendars, schedules, email inboxes, and other administrative workflows remotely.
  • Implement and support AI tools and automation to improve business operations and customer-facing processes.
  • Monitor member retention, churn risk, curriculum progress, staff scheduling, and sales pipelines using AI-enabled systems.
  • Automate outreach, follow-ups, notifications, and escalation workflows across SMS, email, chat, Slack, or Teams.
  • Prepare presentations, reports, documents, and meeting recaps using AI-enhanced tools.
  • Track tasks, progress, and project plans using tools such as ClickUp, Asana, or Trello.
  • Conduct online research and summarize findings to support planning and decision-making.
  • Respond to client inquiries, set appointments, and support sales-related communication.
  • Gather feedback, summarize insights, and help identify improvements for morale, retention, and cancellation recovery.

Requirements

  • Proven experience as a Virtual Assistant or in a similar administrative/support role.
  • Hands-on experience using AI tools such as ChatGPT, Notion AI, Jasper, or GrammarlyGO.
  • Familiarity with automation platforms such as Zapier or Airtable.
  • Proficiency with productivity and communication tools including Google Workspace, Microsoft Office, Slack, and Zoom.
  • Strong written and verbal communication skills in English.
  • Ability to work independently, manage multiple priorities, and maintain confidentiality.
  • Detail-oriented, organized, and quick to learn new technologies.
  • Coaching and consultative experience in a similar role is preferred.
  • Leadership experience is preferred.
