Description

  • Manage full accounting operations in Xero, including general ledger maintenance, journal entries, bank reconciliations, and preparation of financial statements.
  • Produce weekly reports and scorecards (delivered by Tuesday) on project/product margins, labor efficiency and utilization, AR and collections, and expense highlights/variances.
  • Prepare monthly and quarterly financial summaries with actionable recommendations and support leadership with budget planning, forecasts, and scenario modeling.
  • Implement and maintain cost-per-project accounting to measure true margins, track direct labor, allocate overhead, and monitor profitability by website build or client engagement.
  • Develop and maintain standard cost templates and reporting methods, and support pricing validation by analyzing margins per product, package, and promotion.
  • Produce post-launch and post-conference ROI reports linking actual spend to lead generation and revenue impact.
  • Own subscription and system audits by reviewing active tools to eliminate waste, maintain a central expense tracker linking costs to projects/departments/events, and monitor vendor payments, renewals, and contract terms.
  • Oversee accounts receivable and collections processes, maintain aging reports, reduce AR >30 days, and coordinate with Sales for accurate invoicing on subscriptions, websites, renewals, upgrades, and upsells.
  • Prepare and process payroll for employees and contractors (via Gusto, Xero Payroll, or equivalent), support tax filings and compliance with external CPA or tax attorney, and document processes while training backup staff for continuity.

Requirements

  • Bachelor’s degree in Accounting.
  • 5+ years of accounting experience at a growing business, preferably an agency or SaaS business doing $3M+ annual revenue.
  • Demonstrated expertise with Xero for bookkeeping, reporting, and integrations.
  • Proven experience with cost accounting or job-order costing and tracking project-level profitability.
  • Strong analytical skills with the ability to turn data into insights and recommendations, and excellent attention to detail and organization in a remote setup.
  • Knowledge of U.S. accounting practices and experience coordinating tax filings with external CPAs or tax attorneys.
  • Experience preparing and processing payroll using Gusto, Xero Payroll, or equivalent payroll systems.
  • Employment and reference checks from past employers will be verified.
  • Preferred: familiarity with Profit First, Simple Numbers, or similar financial frameworks; experience in multi-entity or SaaS-style recurring revenue businesses; proficiency in Excel/Google Sheets (pivot tables, formulas, dashboards); CPA or equivalent certification is an advantage.
