Description

  • Take ownership of the practice recall list and proactively contact patients to schedule hygiene visits, cleanings, and outstanding treatments.
  • Manage a fast-moving appointment calendar to maximize chair utilization and maintain smooth patient flow for rotating daily providers.
  • Monitor and respond to live inbound call overflow from the AI receptionist system with a warm, concierge-level phone experience.
  • Perform comprehensive dental insurance verification, including eligibility checks, benefit breakdowns, annual maximum tracking, and data entry into patient files.
  • Follow up with patients after exams to answer treatment questions and encourage booking of proposed procedures.
  • Reschedule broken appointments, cancellations, and no-shows to protect provider production schedules.
  • Provide flexible cross-functional administrative and front-office support as needed by the clinical team.
  • Work closely under the client’s direct guidance and training to maintain efficient daily operations.

Requirements

  • 3–4 years of direct front-office experience in a U.S.-based dental practice.
  • Complete, accent-free verbal and written fluency in both English and Spanish.
  • Comfort discussing clinical terminology and billing in both English and Spanish.
  • Mastery of EagleSoft EMR, including charting, scheduling, and patient accounts.
  • Mastery of the Weave communications and phone platform.
  • Proven ability to thrive in a high-volume, multi-provider dental environment with daily schedule and team changes.
  • Strong ability to manage complex patient relationships and dental insurance processes.
  • Must be highly professional, articulate, and an agile multitasker.
