Description

  • Manage and proactively adjust the CEO’s calendars across multiple companies in real time.
  • Coordinate CEO-led projects by tracking progress, pushing deadlines when needed, and resolving bottlenecks.
  • Serve as the primary gatekeeper for internal and external communications directed to the CEO.
  • Draft, screen, and initiate executive correspondence with appropriate escalation when needed.
  • Plan and confirm meetings, conferences, and travel logistics.
  • Prepare agendas, collate materials, and document actionable meeting minutes.
  • Compile executive-ready reports, presentations, and briefs, checking for gaps or inconsistencies before submission.
  • Identify workflow inefficiencies and implement approved process improvements across multiple companies.
  • Conduct needs analysis, SWOT analysis, root cause analysis, and action planning for initiatives.
  • Handle urgent or unexpected executive tasks independently and escalate only when necessary.

Requirements

  • 1–2+ years of experience supporting C-suite executives with multi-company responsibilities.
  • Ability to work independently, prioritize competing demands, and own outcomes without step-by-step direction.
  • Excellent verbal and written communication skills, with the ability to compose executive-level emails and documents.
  • Strong multitasking and time-management skills, including the ability to handle interruptions without losing focus.
  • Comfort performing voice-based tasks and working US-aligned schedules on Philippine night shift.
  • Proficiency with Google Suite, including Sheets, Docs, Calendar, and Gmail.
  • Quick learner of new tools, systems, and workflows.
  • Strong critical thinking skills with the ability to anticipate problems and propose solutions.
  • Ability to maintain confidentiality while managing multiple companies’ priorities.
  • Experience with video/voice conferencing tools, project management or note-taking platforms, and presentation tools such as Slides and Docs.
