Description

  • Review contracts, project scope, schedules, and drawings to understand project requirements.
  • Coordinate submission of project documentation to general contractors, including insurance, contracts, submittals, samples, and bonds.
  • Support internal kick-off meetings and help ensure team alignment at project start-up.
  • Maintain and update project logs such as RFIs, submittals, ASIs, sketches, and drawings, and escalate outstanding items.
  • Review daily reports, project photos, and safety documentation for completeness.
  • Organize and code electronic project documents and keep contracts, insurance, and bonds current.
  • Assist the Project Manager with meeting minutes, short interval schedules, and change orders.
  • Communicate with clients about change order logs and project progress.
  • Upload and maintain drawings and specifications in Procore.
  • Prepare warranty letters, confirm project completion dates, and coordinate attic stock and final closeout documentation.

Requirements

  • 4+ years of experience in construction project coordination or commercial painting, preferably in multifamily or institutional projects such as schools, healthcare, or DCAM.
  • Proficiency with project management software such as Procore, PlanSwift, Bluebeam, Smartsheet, Sage, or similar tools.
  • Strong organizational skills and the ability to maintain accurate project documentation.
  • Ability to manage 15+ active projects simultaneously.
  • Excellent written and verbal English communication skills.
  • Ability to multitask and collaborate effectively with remote teams.
  • Comfort using Microsoft Office tools including Outlook, Excel, Word, and SharePoint, as well as Adobe.
  • Experience with Power BI.
  • Dependable, self-motivated, team-oriented, positive, and adaptable to changing project needs.
