Description

  • Act as a trusted extension of the executive by independently translating high-level instructions into structured plans and completed outcomes.
  • Manage communications, priorities, follow-ups, and action tracking to ensure nothing is missed.
  • Anticipate needs, identify risks, and resolve issues proactively without requiring executive intervention.
  • Provide personal assistant support for appointments, events, personal travel, daily administration, family coordination, and issue resolution.
  • Oversee personal services, vendors, and contractors such as concierge, security, drivers, and travel and lifestyle providers.
  • Plan and execute complex international travel across the U.S., Asia, and Europe, including itineraries, visas, accommodations, transport, and contingency planning.
  • Coordinate with globally distributed vendors and stakeholders across multiple regions and time zones.
  • Track, reconcile, and organise personal and professional spending, invoices, reimbursements, and financial records.
  • Liaise with accountants, finance teams, and external providers as needed.
  • Serve as a central point of contact for professional and personal matters and prepare materials and plans in advance.

Requirements

  • Minimum 5+ years of experience as a senior EA, PA, or Chief of Staff supporting founders, principals, or executives.
  • University degree required.
  • Proven experience managing both professional and personal affairs for high-net-worth or globally mobile individuals.
  • Demonstrated ability to handle highly sensitive and confidential matters with discretion and sound judgment.
  • Background in finance, accounting, bookkeeping, or HR preferred.
  • Exposure to HR or recruitment coordination is a plus.
  • Willingness to work flexible hours aligned with global time zones.
  • Strong numerical skills and excellent written and verbal communication skills required.
  • Strong preference for candidates with financial detail and accuracy experience, such as QuickBooks or similar exposure.
  • Permanent, full-time direct hire role with a flexible Monday-to-Friday schedule aligned to the executive’s location.
  • Remote/WFH position.
