Description

  • Manage the meeting lifecycle, including scheduling, agendas, minutes, and filing records in the Trial Master File.
  • Assist with creation and maintenance of project timelines in MS Project or a similar system.
  • Perform a range of tasks in clinical systems relevant to the role and project scope.
  • Manage study-specific training by tracking materials, assignments, completion, and training records.
  • Identify training gaps, follow up on compliance, and escalate issues to the Project Manager as needed.
  • Establish and maintain shared study workspaces, project email boxes, and user access to study systems.
  • Order study supplies, support binder preparation, and coordinate with vendors on quotes, shipping, and payments.
  • Maintain study trackers, finance system updates, and weekly time reporting for project team members.
  • Support distribution and tracking of safety reports and manage translation workflows for site documents when applicable.
  • Assist the Project Manager with study plans, reports, KPIs, inspection readiness materials, sponsor-facing updates, and change order documentation.

Requirements

  • 4-year college degree or international equivalent, or equivalent experience in a business, scientific, or healthcare discipline.
  • Minimum 2 years of relevant experience or demonstrated competency in the key requirements of the role.
  • Fluency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Strong customer service demeanor with flexibility, teamwork, and keen attention to detail.
  • Ability to communicate proficiently in English, both verbally and in writing.
  • Experience working in clinical research or study support roles (implied by the position scope).
  • Experience with MS Project or similar project tracking systems is preferred.
  • Familiarity with clinical systems, Trial Master File processes, and study documentation is preferred.
  • Ability to manage multiple priorities across several studies with independent judgment and critical thinking.
