Description

  • Maintain and update project plans, timelines, milestones, dependencies, and deliverables in project tracking tools such as Asana, Trello, Monday.com, MS Project, or Smartsheet.
  • Prepare meeting agendas, meeting notes, action items, and weekly project reports.
  • Maintain organized project documentation in SharePoint, Google Drive, or Confluence.
  • Serve as the central liaison between project managers, team members, leadership, stakeholders, vendors, and contractors.
  • Follow up proactively on tasks and deliverables to keep priorities and deadlines on track.
  • Escalate delays, blockers, and operational risks early before they affect timelines.
  • Monitor task completion, resource availability, and dependencies across active projects.
  • Maintain risk registers and escalation tracking, and help ensure deliverables meet quality expectations before submission.
  • Coordinate communication across stakeholders to ensure alignment and proper documentation of decisions.

Requirements

  • 2+ years of experience in project coordination, operations support, or administrative/project support roles.
  • Hands-on experience with Asana, Trello, and Monday.com.
  • Strong Excel or Google Sheets skills, including trackers, pivot tables, and conditional formatting.
  • Strong organizational, documentation, communication, and coordination skills.
  • Comfortable working remotely across multiple stakeholders during U.S. client business hours.
  • Experience in Agile or Scrum workflows and sprint planning is preferred.
  • PMP, CAPM, or Agile certification is preferred or in progress.
  • Experience in SaaS, marketing, professional services, construction, or other operations-heavy environments is preferred.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
