Description

  • Own the Principal’s calendar end-to-end across multiple time zones and protect strategic thinking time.
  • Prioritize scheduling requests, push back on low-value meetings, and prepare agendas, context, and materials for every meeting.
  • Triage the inbox daily, draft responses in the Principal’s voice, and ensure emails and threads are tracked and resolved within 24 hours.
  • Serve as the central coordination point between the Principal and executives, attorneys, advisors, partners, and internal teams.
  • Translate verbal direction into clear action items, written communication, and coordinated follow-through.
  • Coordinate meetings, agendas, follow-ups, and decision execution across teams without delay.
  • Manage complex domestic and international travel, including logistics, reservations, contingencies, and related scheduling.
  • Oversee personal and lifestyle operations, including partner and family logistics, residences, vendors, appointments, and special events.
  • Track commitments, deadlines, deliverables, and dependencies in a centralized task and reminder system.
  • Prepare executive briefs, conduct research, and continuously improve workflows, systems, and SOPs using AI-first tools.

Requirements

  • 3–7 years of experience as an Executive Assistant, Chief of Staff, Operations Manager, or in a similar senior-support role.
  • Proven experience supporting high-performing founders, executives, or principals.
  • Native or near-native English proficiency, both written and spoken.
  • Exceptional written communication with clear, concise, executive-level writing.
  • Strong proficiency with Google Workspace, Notion, ClickUp, Asana, or similar tools.
  • Demonstrated ability to manage multiple priorities with precision and speed.
  • Exceptional discretion and the ability to handle highly confidential information.
  • Proven ownership mindset, proactive execution style, and ability to operate independently without constant direction.
  • Strong experience managing calendars, inboxes, and cross-functional coordination.
  • AI-first workflow experience using Claude or equivalent tools for daily operations, drafting, research, summarization, and SOP creation.
  • Preferred experience supporting executives in family offices, financial services, real estate, or luxury environments.
  • Preferred exposure to legal, financial, or investment-related workflows.
  • Preferred experience building systems, SOPs, or operational frameworks.
