Description

  • Maintain daily operational workflows and support the Owner with execution-focused tasks.
  • Keep CRM and operational systems updated with clean, accurate data across Excel, Google Sheets, OneDrive, and CompanyCam.
  • Process invoices accurately, track outstanding payments, maintain accounts receivable records, and coordinate billing documentation with accounting.
  • Monitor crew schedules and job progress using Aspire and Azuga, identifying conflicts, delays, and time discrepancies.
  • Ensure accurate time tracking for payroll and job costing.
  • Manage inbound leads and client communication, update CRM records, and ensure timely follow-ups with no missed responses.
  • Prepare reports, proposals, and RFP responses, and conduct vendor, pricing, and contract research.
  • Maintain organized documentation and support administrative tasks for the Owner, including email and Microsoft Teams communication.
  • Escalate priority issues quickly and keep communication structured and organized.

Requirements

  • Full-time availability to work U.S. business hours, with EST required.
  • Experience in operations coordination, admin support, or billing/invoicing.
  • Strong proficiency with Microsoft Excel, Outlook, Word, Teams, and OneDrive.
  • CRM experience with any system; Aspire experience is a plus.
  • Strong written communication skills for an email-heavy role.
  • Ability to manage multiple workflows with high accuracy and attention to detail.
  • Experience with Aspire and Azuga is preferred.
  • Background in field service businesses, construction, landscaping, or other operations-heavy industries is preferred.
  • Experience with payroll coordination, job costing, and accounts receivable follow-ups is preferred.
