Description

  • Request and retrieve medical records, bills, police reports, insurance information, and related documentation from external providers and agencies.
  • Track multiple outstanding requests at once and maintain detailed logs of request status and expected delivery dates.
  • Follow up persistently with hospitals, clinics, insurance carriers, police departments, and other external parties to complete requests.
  • Log, route, file, and maintain documentation in case management systems with accurate naming conventions and metadata.
  • Meet quality standards and case file deadlines in a high-volume environment with 15+ open requests at a time.
  • Communicate progress updates, blockers, and completion status to internal team members.
  • Identify incomplete or missing documentation early and flag issues to avoid delays in litigation workflows.

Requirements

  • Strong written and verbal English communication skills for professional correspondence with external parties.
  • Meticulous attention to detail when handling confidential medical and legal documentation.
  • Proven ability to manage multiple open requests simultaneously without missing deadlines or losing items.
  • Comfort working in process-driven, high-volume environments with clear workflows and quality benchmarks.
  • Persistence and strong follow-up discipline when coordinating with external parties.
  • Ability to work independently while keeping team members informed of progress and blockers.
  • Proficiency with email, spreadsheets, and web-based systems; ability to learn new software quickly.
  • Prior experience in legal support, medical records management, insurance claims processing, or back-office administration (preferred).
  • Familiarity with case management systems such as FileVine, SmartAdvocate, or similar platforms (preferred).
  • Track record of managing high-volume workflows with accuracy above 95% (preferred).
