Description

  • Own vendor management end to end, including vendor selection, onboarding, contracting, payments, and invoice processes.
  • Coordinate contract terms negotiations between legal, project teams, and external vendors to ensure timely sign-off.
  • Maintain accurate records of agreements, renewals, and vendor relationships.
  • Plan and deliver team events from concept and budgeting through logistics, vendor coordination, and on-the-day execution.
  • Partner with internal stakeholders to align events with broader team goals.
  • Maintain shared drives, workspaces, and team documentation.
  • Take meeting notes and track next steps, owners, and deadlines.
  • Identify inefficiencies and improve team workflows through simpler systems and process improvements.
  • Use AI tools to streamline administrative work where appropriate.
  • Provide personal assistance to the CCO and department heads, including travel booking, itinerary management, and calendar ownership across multiple time zones.
  • Coordinate internal and external meetings and prepare agendas, briefing materials, and follow-up notes as needed.

Requirements

  • Bachelor's degree, ideally in Business Administration, Communications, or a related field.
  • 1–3 years of experience in a team assistant, office coordinator, executive assistant, or administrative support role.
  • Experience working in a fast-paced, cross-functional team environment.
  • Exposure to vendor management, contracting, or event coordination is a strong plus.
  • Fluency in English, written and verbal.
  • Strong proactivity and ability to anticipate needs and move work forward independently.
  • Strong organization and time management skills across multiple calendars, workstreams, and deadlines.
  • Comfort using AI tools, or willingness to learn them, to work more efficiently.
  • Strong relationship-building skills with colleagues, vendors, and stakeholders.
  • Attention to detail in scheduling, documentation, contracts, and follow-ups.
  • Clear, professional communication skills in both writing and speaking.
  • Flexibility to support meetings and coordination across multiple time zones.
  • Must be authorized to work in the country of application and provide proof of employment eligibility if hired.
