Description

  • Manage group Tour Operations Agreements, including drafting, execution, record-keeping, renewals, and coordination with legal counsel when needed.
  • Oversee charter contracts from initial proposal through final execution and ensure alignment with client requirements and company standards.
  • Create, maintain, and update charter proposals, including managing charter space in company systems.
  • Administer the LEX Affinity & Charter Portal, including user access, troubleshooting, and portal improvement efforts.
  • Serve as the primary liaison between affinity group partners, charter clients, and internal departments across operations, marketing, finance, legal, guest services, and shipboard teams.
  • Support affinity group marketing by providing copy and imagery, completing partner submissions, and reviewing materials for accuracy and brand consistency.
  • Coordinate pre-departure and onboard arrangements such as guest speaker and host scheduling, communications, special programming, and group photography.
  • Lead or participate in virtual and in-person meetings, presentations, conferences, and other client-facing activities.
  • Submit charter and group invoices, maintain tracking spreadsheets and ACH payment records, and coordinate booking confirmations and payouts.
  • Maintain annual insurance certificates, manage brochure requirements and project tasks, and keep internal file systems organized and audited.

Requirements

  • Bachelor’s degree preferred.
  • 3+ years of experience in group travel coordination, sales operations, or a related field within the travel or hospitality industry.
  • Experience with expedition or luxury travel is a plus.
  • Exceptional attention to detail and strong organizational skills.
  • Strong project management skills with the ability to manage multiple programs simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and SharePoint.
  • Comfort with project management and CRM platforms.
  • Experience using internal booking systems such as Seaware and CRM tools such as Salesforce.
  • Client-service mindset, collaborative approach, and ability to work independently while adapting to shifting priorities.

  • $70,000 - $80,000 annual salary.
  • Annual bonus of up to 5%.
