Description

  • Assist with administrative tasks such as answering phones, communicating with tenants, and maintaining paper and electronic files.
  • Maintain insurance certificates and review certificates of insurance for accuracy.
  • Manage the work order system, including follow-up on open work orders and related emergencies.
  • Assist with emergency procedures, including fire drill preparation and execution.
  • Process and code invoices and help prepare tenant work orders for monthly billbacks and supplemental readings.
  • Respond to tenant needs and coordinate timely issue resolution with administrative and building technical staff.
  • Coordinate tenant move-in and move-out documentation and manage signed moving policies.
  • Maintain tenant contact lists, update the engineer on-call binder, and support tenant events and conference center reservations.
  • Contribute to process improvement initiatives and improve efficiency in tenant outreach programs.
  • Perform other assigned duties and responsibilities as needed.

Requirements

  • High school diploma or GED, or equivalent experience.
  • Up to 2 years of job-related experience required.
  • Bachelor's degree preferred.
  • Working knowledge of Microsoft Office Suite.
  • Basic math skills, including the ability to calculate percentages, discounts, and markups.
  • Strong organizational skills with an inquisitive mindset.
  • Communication skills sufficient to exchange straightforward information with tenants, vendors, and team members.
  • Must be currently authorized to work in the United States without visa sponsorship now or in the future.
  • Ability to participate in monthly building walks and tenant visits, with infrequent travel required.
  • Background check and proof of eligibility to work in the United States are required for the offer to be finalized.
