Description

  • Process bi-monthly payroll and maintain accurate PTO and sick time tracking.
  • Lead weekly team meetings and coordinate employee engagement and staff appreciation initiatives.
  • Administer bi-annual performance reviews and track team Objectives and Key Results (OKRs).
  • Coordinate onboarding for new team members, including internal training and IT provisioning.
  • Manage training budgets and assess ongoing training and professional development needs.
  • Analyze time tracking, utilization, productivity, and client time reporting data to support workforce planning.
  • Handle client budget changes, team assignment transitions, and capacity planning for new client onboarding.
  • Oversee team scheduling, availability, and time-off monitoring.
  • Administer new client onboarding from contract execution through the first monthly check-in, including personnel and IT coordination.
  • Track client engagement metrics, administer annual client satisfaction surveys, and manage recurring QA reviews and SOP standards.
  • Prepare and analyze monthly invoices and manage collections processes.
  • Handle new user provisioning, internal IT ticket management, cloud platform optimization, and internal system cleanup.
  • Maintain client and team databases in Airtable and support marketing operations, including referral program management.
  • Own internal SOP documentation and lead communication, training, and change management for process updates.

Requirements

  • Bachelor’s degree in Business, Operations, Human Resources, Accounting, or a related field.
  • 4–6 years of experience in operations management, preferably in professional services, accounting, or consulting environments.
  • Experience managing HR administration, payroll processes, and workforce planning.
  • Strong organizational and project management skills with excellent attention to detail.
  • Comfort working with cloud-based tools such as Airtable, time tracking systems, accounting platforms, or IT platforms.
  • Strong written and verbal communication skills.
  • Experience in an accounting, finance, or CFO services firm is preferred.
  • Familiarity with utilization-based staffing models and client budgeting is preferred.
  • Experience managing SOPs, QA processes, and operational documentation is preferred.
  • Background supporting remote or distributed teams is preferred.
  • Exposure to basic IT administration, systems optimization, or workflow automation is preferred.
