Description

  • Pair RBTs and BTs with clients based on location, availability, language, and clinical fit.
  • Build and oversee weekly and monthly schedules for the full caseload.
  • Resolve same-day scheduling disruptions, including cancellations and PTO coverage, to maintain continuity of care.
  • Monitor therapist workloads to balance coverage and reduce burnout.
  • Track authorized service hours to ensure full utilization within approval windows and Medicaid compliance.
  • Alert clinical and billing teams about upcoming authorization expirations and renewal needs.
  • Maintain accurate, real-time records in Zoho and other EHR systems for audit-ready documentation.
  • Serve as the main point of contact for therapists regarding caseloads and logistics.
  • Coordinate with BCBAs to align scheduling with treatment plans and supervision requirements.
  • Communicate professionally with client families about session updates and confirmations.
  • Support intake teams in transitioning new clients from approval to their first session.
  • Generate weekly reports on coverage rates, utilization, staffing gaps, and cancellation trends.

Requirements

  • High-speed primary internet connection with a minimum of 15 Mbps.
  • Backup internet connection with at least 10 Mbps that can support work during a power outage.
  • Desktop or laptop with an Intel Core i5 8th generation or newer, Intel Core i3 10th generation or newer, AMD Ryzen 5, or equivalent processor.
  • At least 8 GB of RAM.
  • Backup device that meets or exceeds an Intel Core i3 processor and functions during power interruptions.
  • Functioning webcam and noise-canceling USB headset.
  • Quiet, dedicated home office space.
  • Smartphone for communication and verification purposes.
  • Proficiency with Google Workspace or Microsoft Office.
  • Experience with EHR or CRM platforms; Zoho experience is a plus.
  • Strong organizational skills for managing a high-volume caseload.
  • Ability to communicate effectively with families and clinical leadership in sensitive or technical conversations.
  • Self-starter who can prioritize urgent tasks in a fast-paced environment.
  • Strong attention to detail and a zero-error mindset for data entry and compliance documentation.
