Description

  • Own end-to-end logistics for Tier 1 owned events, including rooming, food and beverage, room sets, decor, transportation, offsite activities, and onsite flow.
  • Manage venue and vendor sourcing and relationships, including running RFPs, reviewing contracts, and coordinating approvals with Legal and Finance.
  • Build and maintain production schedules, conduct hotel site visits, and lead weekly coordination check-ins with hotels and DMCs.
  • Coordinate onsite experience details such as swag, gifting, badges, signage, entertainment, photography, room drops, spa, dining, and VIP transportation.
  • Serve as a key operational presence onsite, managing execution, troubleshooting issues in real time, and ensuring a seamless attendee experience.
  • Own event budgets day to day, including drafting budgets, processing contracts, invoices, reimbursements, and reconciling final numbers.
  • Build and maintain detailed project plans and timelines in Asana and use Slack and Google Workspace to keep stakeholders aligned and on schedule.
  • Confirm Garner attendees and run staff prep meetings in the lead-up to each event.
  • Support post-event wrap-up, including feedback sessions, reimbursements, final budget reconciliation, and lessons learned.

Requirements

  • 3+ years of experience in event operations, logistics, hospitality, or a related coordination role.
  • Experience supporting large multi-day or corporate events is strongly preferred.
  • Exceptional organization and attention to detail.
  • A proactive, execution-oriented work style with the ability to prioritize, escalate issues early, and maintain quality under pressure.
  • Strong vendor and stakeholder coordination skills.
  • Comfort with event and project tools such as Swoogo, Asana, Google Workspace, and Slack, or similar platforms.
  • Hands-on experience with budgets, contracts, and invoice processing.
  • Experience with hotels, BEOs, DMCs, and venue contracts is a strong plus.
  • Willingness to travel and work onsite at events, including travel up to 50%.
  • Interest in using AI tools to streamline repetitive work, with Claude Code experience or comfort using AI as a plus.
  • Ability to work in a high-performing, mission-driven environment with intense urgency and strong individual accountability.
  • Must not require employment visa sponsorship, as sponsorship is not available at this time.
