Description

  • Manage the logistical needs of the production calendar for both live and virtual events, providing responsive service via email, phone, and face-to-face communication.
  • Administer all aspects of live event production, including coordinating A/V teams on visual and audio production needs.
  • Review and manage rental orders, vendor requirements, and temporary staff hiring and coordination.
  • Create venue layouts and develop detailed run-of-show schedules for conferences and events.
  • Administer sponsor deliverables such as collecting advance materials, arranging shipping of display items, and managing presentation media.
  • Assist in the production of virtual events on platforms such as Zoom and Hopin by setting up templates, managing schedules, and staffing key roles.
  • Coordinate catering and beverage planning and other on-site operational logistics.
  • Travel to in-person events and support onsite production during conferences held in other cities.

Requirements

  • Bachelor’s degree (4-year college/university) minimum.
  • Minimum of 2 years of full-time, professional post-graduation experience.
  • Several years of demonstrated experience managing core event production tasks such as vendor evaluation and contracting, creating staffing and run-of-show sheets, catering and beverage planning, and event production rentals.
  • Experience producing complex events (corporate or marketing events, executive gatherings, festivals, or arts events) is a major plus.
  • Fluency with modern budgeting practices and ability to understand and manage complex spreadsheets.
  • Experience with virtual event platforms and workflows (examples noted: Zoom and Hopin).
  • Must live in the broader NYC area within reasonable distance of a major airport and be able to come to the city occasionally for meetings.
  • Willingness and ability to travel to other cities for in-person events and to work primarily during daytime business hours.
