Description

  • Review payment requests and disburse payments for honorariums, reimbursements, per diems, invoices, and similar items.
  • Manage vendor and contractor payment workflows, including payee onboarding and tax-form collection.
  • Maintain the SOP library for finance procedures and support finance process documentation.
  • Manage Mercury and credit card operations, including receipt collection, expense policy compliance, and expense coding.
  • Track and support team budgets, restricted grant budgets, tech stipends, and retreat budgets.
  • Keep the books current in QuickBooks Online by entering cash disbursements and receipts, updating dimensions and reports, and running close cycles.
  • Operate and improve AI-assisted finance automations and coordinate with external accountants.
  • Invoice clients, track receivables, and issue annual financial forms such as 1099s and 1042s.
  • Manage restricted and unrestricted fund balances, including tracking, releasing, and reporting to funders.
  • Prepare allocations and schedules for audited financial statements and Form 990, and produce monthly financial reports and management accounts.
  • Prepare for and coordinate the annual audit, including document compilation, schedules, and auditor communication.
  • Own financial SOPs and accounting policy, support internal controls and reconciliations, and help build forecasting tools.
  • Support capital management strategies and, over time, treasury and investment execution.
  • Manage contractors, vendors, and external CPA firms at the Manager level.
  • Evaluate and potentially lead a future migration to more sophisticated accounting software at the Manager level.

Requirements

  • 2+ years of experience in finance operations in a financially complicated nonprofit or fast-paced high-growth environment.
  • Understanding of nonprofit and multi-entity accounting, including restricted funds and GAAP compliance.
  • Hands-on bookkeeping or accounting experience with QuickBooks.
  • Comfort taking ownership and operating with high agency.
  • Comfort with AI tools and automation, with enthusiasm for streamlining financial processes.
  • Advanced experience with Excel or Google Sheets.
  • Highly organized, detail-oriented, and able to navigate ambiguity and uncertainty.
  • Interest in and understanding of Epoch AI's mission.
  • Professional-level English proficiency and all application materials submitted in English.
  • Ability to overlap with Pacific Time for at least 4 hours; remote candidates preferred to overlap with UTC-8.
  • For the Manager level: 3+ years of relevant experience, including owning recurring close cycles end to end.
  • For the Manager level: experience working directly with external auditors and managing accounting or bookkeeping providers.
  • Nice to have: experience supporting or preparing for a nonprofit audit and Form 990.
  • Nice to have: experience implementing or migrating accounting platforms.

  • Annual salary of $80,000-$120,000 USD for Finance Specialist or $100,000-$140,000 for Finance Manager, depending on location and experience.
