Description

  • Own supplier coordination, purchasing, and end-to-end order processing and fulfillment coordination.
  • Lead and prioritize the business-support team and procurement staff, ensuring clear ownership of output and delivery.
  • Run new initiatives and operational projects end-to-end, from planning through execution and follow-through.
  • Build, document, and improve SOPs, checklists, and workflows to standardize how work gets done.
  • Coordinate across sales, HR, finance, and logistics to meet deadlines across multiple jurisdictions.
  • Act as a filter and force-multiplier for the CEO by handling decisions independently and escalating only what truly requires CEO input.
  • Track operational KPIs and manage work using project-management tools and spreadsheets.
  • Maintain a clean and reliable back-office operation across countries and time zones.

Requirements

  • Proven experience running operations or projects at a comparable multi-function or multi-country scale.
  • Direct experience managing a small team such as assistants, coordinators, or procurement staff.
  • Ability to create SOPs, playbooks, or systems that others continue to use.
  • Strong ownership, prioritization, and judgment with the ability to deliver without hand-holding.
  • Fluent written and spoken English is mandatory.
  • A university degree (Bachelor's or higher) in business, management, finance, or a related field is required.
  • Proficiency with project-management software such as Asana, ClickUp, Notion, or Monday.
  • Strong skills in Excel or Google Sheets.
  • Excellent organization and attention to detail.
  • Master's degree or Bachelor's with honours/distinction is a plus.
  • Scrum Master, PMP, PRINCE2, or Lean Six Sigma certification is a strong plus.
  • Russian is a strong advantage for working with the CEO.
  • Spanish is useful for supplier and Latin America coordination.
  • Experience in distribution, logistics, e-commerce, or FMCG is preferred.
