Description

  • Plan and coordinate timelines, materials, and deadlines for major global and regional events, including in-person and virtual convenings.
  • Coordinate internal team participation in events by preparing briefing materials and leading debrief sessions.
  • Support outreach to potential event sponsors and help manage sponsor relationships.
  • Monitor project timelines, track follow-ups, and support stakeholder outreach and internal deliverables.
  • Coordinate event logistics by inviting panelists, tracking submissions, and ensuring timely responses from staff and participants.
  • Facilitate internal project tracking and team check-ins to maintain progress and accountability.
  • Arrange travel logistics for senior staff and representatives attending international events.
  • Support meeting scheduling, agenda development, note-taking, and preparation of briefing materials for internal and external meetings.
  • Maintain organized records and documentation across systems, including presentations and annual reports, with version control and clear labeling.
  • Coordinate internal communications to keep the team aligned on priorities, updates, and deadlines.

Requirements

  • 3-5 years of professional experience.
  • Bachelor’s degree.
  • Strong project management, organizational, and time management skills with the ability to handle multiple priorities.
  • Excellent proactive communication and interpersonal skills, including experience engaging with high-level stakeholders in a fast-paced environment.
  • Detail-oriented with the ability to track deadlines, follow up on key tasks, and maintain well-organized records.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, SharePoint, Teams, and Planner.
  • Experience with videoconferencing tools such as Zoom and Teams.
  • Experience with project management tools such as Monday and Planner.
  • Experience with event coordination, international partnerships, or stakeholder engagement in an international setting.
  • Fluency in Spanish or French (preferred).
  • Prior experience in policy, sustainability, or international collaboration settings (preferred).
  • Experience incorporating AI tools for workflow optimization (preferred).
  • Experience working in multicultural, multilingual settings with an international community (preferred).

  • $40,000 - $47,000 annual salary.
