Description

  • Own the bi-weekly U.S. payroll administration cycle in Paylocity and coordinate with the payroll processing partner.
  • Submit, audit, and reconcile payroll changes including new hires, terminations, clawbacks, corrections, direct deposit updates, compensation changes, and termination pay.
  • Review timecard adjustments and payroll registers for a large nonexempt/hourly employee population.
  • Flag payroll discrepancies and partner with People Ops and external vendors to resolve issues quickly.
  • Maintain and execute the U.S. compliance calendar to ensure recurring reporting and regulatory deadlines are met.
  • Prepare compliance filings and reports such as EEO-1, CA Pay Data Reports, OSHA 300 logs, and other required annual submissions.
  • Monitor state and federal legislative changes across multiple states and communicate impacts to payroll, policy, and compliance processes.
  • Partner with Legal on handbook and policy updates and ensure employee acknowledgements and required trainings are completed.
  • Coordinate ACA reporting and non-discrimination testing with Benefits partners and keep documentation audit-ready.
  • Support internal and external audits by providing accurate payroll and compliance records.

Requirements

  • 3–5+ years of hands-on U.S. payroll administration experience.
  • Experience supporting organizations with 600–1,000 employees and 300+ nonexempt/hourly workers.
  • Experience processing and auditing payroll changes such as new hires, terminations, compensation changes, timecard corrections, clawbacks, and direct deposit updates.
  • Strong understanding of nonexempt/hourly payroll complexity, including off-cycle payments and termination pay requirements.
  • Demonstrated ownership of a U.S. multi-state compliance calendar and reporting.
  • Experience preparing EEO-1, Pay Data Reports, and OSHA 300 logs.
  • Experience managing recurring regulatory tasks such as non-discrimination testing, background check reviews, and policy/training acknowledgements.
  • Comfortable working independently in an offshore setup while maintaining consistent CT or ET working hours for U.S. collaboration.
  • Strong communication skills and ability to partner effectively with cross-functional teams.
  • Comfortable working with Paylocity, ticketing platforms, and project management tools.
  • Comfortable working in an environment where AI tools are part of daily operations.
