Description

  • Own planning and execution of Arbital Health’s annual company Summit.
  • Build and manage event timelines, budgets, checklists, project plans, and run-of-show documents.
  • Coordinate venues, catering, transportation, lodging, entertainment, AV, activities, signage, swag, and other logistics.
  • Manage vendors, contracts, invoices, shipping, inventory, and event materials.
  • Coordinate Arbital’s participation in conferences, trade shows, webinars, and virtual events.
  • Partner with Marketing, Sales, Customer Success, executives, and other stakeholders on event programming and preparation.
  • Plan internal gatherings, celebrations, offsites, team events, and employee experiences.
  • Maintain the master events calendar and project tracker while ensuring deadlines and deliverables are met.
  • Manage onsite execution, resolve issues proactively, and conduct post-event follow-up to improve future events.
  • Travel occasionally for conferences, the Summit, offsites, and other company events.

Requirements

  • 3+ years of experience in event planning, coordination, hospitality, marketing events, corporate events, or a related field.
  • Exceptional organizational and project management skills with strong attention to detail.
  • Ability to manage multiple events, priorities, and deadlines simultaneously.
  • Excellent communication, follow-through, and stakeholder coordination skills.
  • Experience working with executives, employees, customers, vendors, and external partners.
  • Strong vendor and relationship-management skills.
  • Comfort managing budgets, invoices, and event-related expenses.
  • Proactive, resourceful problem-solving mindset with the ability to stay calm when plans change.
  • Genuine interest in creating memorable, engaging experiences.
  • Willingness to travel for events as needed.
  • Legal authorization to work in the United States without current or future employer sponsorship.
