Description

  • Maintain and update financial records in QuickBooks, including data entry and transaction categorization.
  • Create and send accurate client invoices for flat-fee and hourly-based services.
  • Track and log billable hours to ensure proper client billing.
  • Support general bookkeeping and financial record-keeping tasks.
  • Maintain spreadsheets and reports in Excel or Google Sheets.
  • Organize financial and client records to keep information accurate and accessible.
  • Handle general administrative tasks as needed.
  • Coordinate tasks based on business needs and the owner’s travel schedule.

Requirements

  • Strong experience with QuickBooks is required; no QuickBooks experience is a deal breaker.
  • Experience with invoice creation and billing workflows is required.
  • Experience managing both flat-fee and hourly billing models is required.
  • Previous experience as a Virtual Assistant or Administrative Assistant is preferred.
  • Healthcare background is preferred but not required.
  • HIPAA certification is required.
  • Must be proficient in speaking and writing English clearly.
  • Must be able to submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, webcam, and quiet professional workspace are required.
