Description

  • Store, organize, and manage documents and company files.
  • Perform data entry tasks such as preparing lead lists, meeting minutes, transcriptions, payroll info, and research notes.
  • Research products, purchase goods, and secure samples as requested.
  • Maintain and update CRM records for marketing and sales campaigns.
  • Create and send statements or invoices, track payments, and record company expenses.
  • Gather and analyze publicly available data on trends and best practices and prepare comparative reports.
  • Monitor projects, facilitate internal communication, and organize company data.
  • Coordinate team calendars, prevent scheduling conflicts, and ensure clients are prepared for meetings.
  • Book travel arrangements and prepare itineraries (hotels, rental cars, etc.).
  • Handle incoming/outgoing calls and emails, follow up on correspondence, and perform ad hoc administrative tasks.

Requirements

  • At least 1 year of experience as a Virtual Assistant.
  • Expert-level bilingual proficiency in English and Cantonese.
  • Excellent phone, email, and instant messaging communication skills.
  • Strong organizational and time-management skills.
  • Ability to work graveyard shift / US work hours (20-40 hours per week).
  • Tech-savvy and familiar with desktop sharing, cloud services, and VoIP.
  • Experience with word-processing software and spreadsheets (e.g., MS Office).
  • Familiarity with online calendars and scheduling tools (e.g., Google Calendar).
  • Proactive attitude and willingness to be trained.
  • Required technical setup: USB headset with noise cancellation, working webcam, computer with ≥1.8 GHz processor and ≥4 GB RAM, main internet ≥25 Mbps (cable) and backup ≥10 Mbps.
