Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events that fit the ideal customer profile and revenue goals.
  • Own a rolling 12-month event calendar and manage event planning from start to finish.
  • Negotiate sponsorships, booth space, speaking slots, and other event add-ons with organizers and vendors.
  • Coordinate booth design, shipping, swag, collateral, lead capture, badge scanners, AV, catering, hotel blocks, and travel logistics.
  • Serve as the on-site point of contact, including booth setup, teardown, and real-time troubleshooting at every event.
  • Brief attending team members on event objectives, talking points, target accounts, schedules, and logistics.
  • Partner with sales to book pre-show meetings, host dinners and customer events, and ensure leads are captured, qualified, and followed up on.
  • Work with marketing on pre- and post-event campaigns, including email, landing pages, paid promotion, and social media.
  • Manage event budgets, track spend, forecast costs, and make trade-off decisions to maximize ROI.
  • Define event KPIs and produce post-event reports on leads, meetings, pipeline, ROI, and performance improvements.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • Proven experience organizing events end to end, including smaller-scale events.
  • Experience managing an events budget and making forecasting and trade-off decisions.
  • Ability to define KPIs and build reports that connect event activity to pipeline and revenue.
  • Demonstrated use of AI in event marketing workflows; this is a required qualification.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management skills and ability to handle multiple moving parts without dropping the ball.
  • Comfort negotiating with vendors and event organizers.
  • Excellent written and verbal communication skills.
  • Willing and able to travel 30% to 50% during peak event seasons across North America, with possible European travel.
  • Must be based in the US or Canada and live within roughly an hour of a major airport hub with strong direct flight connectivity.
  • Must have the right to work in the country of residence; visa sponsorship is not available.
  • Experience with event tools such as Cvent, Splash, Bizzabo, or Goldcast (preferred).
  • Experience working with international events or vendors (preferred).
  • Background in B2B SaaS or a similarly fast-paced tech environment (preferred).
