Description

  • Lead client onboarding and discovery calls to clarify scope, timeline, deliverables, and expectations before recruitment begins.
  • Document client workflows into clear, usable SOPs that VAs can execute independently.
  • Draft and refine job descriptions so they accurately reflect responsibilities, required skills, and workflows.
  • Coordinate with Placement Specialists to confirm role readiness, align on candidate profiles, and flag gaps early.
  • Keep clients informed of next steps, follow-ups, and blockers throughout the onboarding process.
  • Train newly placed VAs on documented workflows and verify competency before handoff to Operations.
  • Oversee the placement handoff into Operations and resolve gaps that could disrupt delivery.
  • Identify workflow misalignments, incomplete processes, or ambiguities and address them proactively.

Requirements

  • 3–6+ years of experience in client onboarding, implementation, account management, or operations.
  • Ability to make decisions independently without close supervision and know when to escalate issues.
  • Strong written and verbal English communication skills with the ability to translate complex workflows into clear instructions.
  • Ability to balance structured process management with client engagement and collaboration.
  • Strong problem-solving skills and comfort acting on partial information to resolve ambiguity proactively.
  • Comfort working cross-functionally in a fully remote team environment.
  • Experience with ClickUp and Monday.com is preferred.
  • Experience with SOP/documentation tools and communication tools such as email, Zoom, and Slack.
  • Must be available for US-aligned hours, approximately 8–10 hours per day.
  • Role is structured as a full-time contractor position focused on output and client satisfaction.
