Description

  • Review bank accounts for each property on a weekly basis, identify discrepancies, and resolve variance issues independently.
  • Reconcile credit card transactions for property expenses, assign accurate categories, and flag unusual charges.
  • Match tenant payments to tenant accounts, track deposits, audit ledgers monthly, and resolve missing or misapplied payments.
  • Process vendor invoices, categorize expenses, schedule payments, and monitor accounts receivable aging.
  • Follow up on delinquent tenants and provide precise, actionable reporting on collections issues.
  • Maintain separate ledgers for each property and produce consolidated accounting reports.
  • Track capital expenditures versus routine maintenance and resolve integration errors between Buildium and QuickBooks.
  • Generate property-level profit and loss statements, cash flow projections, and management-ready reporting packages.
  • Prepare supporting documentation for tax preparation and handle occasional administrative or reporting tasks.
  • Escalate issues only when resolution is not possible and otherwise own problems through completion.

Requirements

  • Proven bookkeeping experience in multi-property environments.
  • Advanced proficiency in QuickBooks and Buildium, or similar property management software.
  • Ability to work independently, prioritize tasks, and make decisions without daily direction.
  • Strong analytical skills with the ability to detect, investigate, and resolve discrepancies accurately.
  • Excellent written and verbal communication skills for asynchronous reporting.
  • High attention to detail, with strong accuracy in reconciliations and reporting.
  • Experience with multi-property ledgers and variance analysis is required.
  • Must be able to work part-time, aligned to Philippine time zone and US business hours.
  • Experience using Microsoft Excel at an advanced level.
  • Familiarity with Google Sheets, Google Drive, Gmail, and Adobe PDF.
