Description

  • Build and maintain targeted prospect lists based on the Ideal Client Profile (ICP) and prioritize best-fit targets for outreach.
  • Identify and confirm decision-makers (HR, Payroll, Operations leadership) and verify they are the correct, current contacts for outreach.
  • Enrich and validate account and contact data (titles, emails, phone numbers, locations, employee count, addresses, role confirmation) to ensure accuracy and completeness.
  • Own Zoho CRM: create/update leads, contacts, accounts, and deals; maintain pipeline stages, next steps, tasks, follow-up dates; log activities; assign owners and statuses.
  • Create simple CRM reports and dashboards as needed to monitor activity, pipeline health, and campaign performance.
  • Create, schedule, and send outbound campaigns using Zoho Campaigns and/or Lemlist; segment lists, manage suppression lists, and track performance metrics (open/reply rates, meeting conversions).
  • Coordinate follow-up workflows to ensure warm leads are advanced and no lead falls through the cracks.
  • Prepare visit-ready target lists for in-person stops with verified addresses and decision-makers; map and optimize routes and prepare briefing notes for each stop.
  • Manage administrative calendar tasks for the CEO related to outreach and visits.

Requirements

  • 2+ years supporting sales teams, outbound prospecting, or CRM administration (VA experience is a plus).
  • Strong experience with Zoho CRM (required).
  • Experience running outbound campaigns in Zoho Campaigns and/or Lemlist (or similar tools).
  • Excellent research skills using LinkedIn, company websites, directories, and other sources to validate contacts and company data.
  • Strong attention to detail and demonstrated comfort cleaning, standardizing, and validating data (addresses, roles, contact info).
  • Clear written communication and reliable follow-through to ensure tasks are completed and logged.
  • Familiarity with mapping/routing tools (Google My Maps, route planning apps) (nice-to-have).
  • Basic understanding of deliverability and list hygiene (nice-to-have).
  • Experience in B2B services, SaaS, HCM, or payroll (helpful but not required).
  • Full-time availability and a self-directed, process-oriented, metrics-driven, and confidential work style.
