Description

  • Control the Director’s calendar and schedule recurring revenue cadences (KPI reviews, AR stand-ups, month-end checkpoints).
  • Arrange meetings with internal stakeholders and set meetings with external parties when directed, preparing agendas, pre-reads, supporting files, and talking points.
  • Ensure meetings start on time with required materials and capture decisions and action items, assigning owners and due dates and maintaining trackers until closure.
  • Maintain dashboards and logs for AR aging, DSO, denials, adjustments, cash receipts, authorization status, and open issues.
  • Monitor expected vs. actual cash activity, flag variances with concise context and recommended actions.
  • Prepare and maintain executive-level notes, summaries, SOPs, and weekly/month-end revenue packets that include metrics, trends, variances, and next steps.
  • Produce clean spreadsheets and slides from data exports using pivots, lookups, filters, and data validation; keep version-controlled, audit-ready folders for contracts, fee schedules, and payor rosters.
  • Conduct templated, limited external communications when instructed (e.g., confirmations, scheduling) and route negotiations or escalations to the Director with briefing materials.
  • Maintain and periodically refine meeting templates, trackers, SOPs, and filing structure, and surface blockers early with proposed next steps or decision requests to support audit readiness.

Requirements

  • 3+ years supporting senior leadership in finance, revenue cycle, or operations-focused EA roles.
  • Financial literacy and practical comfort with AR concepts such as aging buckets, DSO, denials/appeals, write-offs, and EFT/ERA.
  • Advanced Excel or Google Sheets skills (pivots, XLOOKUP/VLOOKUP, conditional logic) and ability to produce clean data outputs.
  • Proficiency with Word/Docs and PowerPoint/Slides for preparing executive materials.
  • Strong written communication, high attention to detail, and consistent deadline execution.
  • Experience using Microsoft 365 and Google Workspace.
  • Familiarity with task/issue trackers (e.g., Asana, Trello, ClickUp) as assigned.
  • Experience working with EMR/RCM reporting exports and payer/banking portals for document retrieval and reference.
  • Ability to respond to shifting priorities, follow through on action items, and maintain confidential, audit-ready documentation.
