Description

  • Generate and issue customer invoices in accordance with contracts and billing schedules.
  • Process customer payments (EFT, credit card, cheque, direct debit) and allocate receipts accurately to customer accounts.
  • Reconcile debtor ledgers, perform project billing reconciliations, and investigate discrepancies.
  • Monitor outstanding balances, produce aged debtor reports, and follow up on overdue accounts with statements, reminders and collection notices.
  • Liaise with customers to resolve payment queries and disputes and handle inbound customer calls and written enquiries.
  • Maintain customer credit limits and payment terms, assess new credit applications, and escalate problem accounts per company credit policy.
  • Provide cash receipts and debtor forecasts to management and assist with month-end, BAS, audit and compliance processes.
  • Maintain accurate customer files and supporting documentation and ensure compliance with company financial policies and procedures.
  • Work with sales and operations teams to resolve invoicing issues and improve/maintain work systems.

Requirements

  • 3+ years' experience in accounts receivable or finance administration.
  • Experience using Epicor / Kinetic ERP software is highly desirable.
  • Strong attention to detail, accuracy, and good numerical and reconciliation skills.
  • Proficient computer skills, particularly Microsoft Excel.
  • Good verbal and written communication skills; professional and courteous customer service.
  • Organised, reliable, able to manage multiple deadlines, and able to work autonomously or collaboratively in a team.
  • Strong problem-solving skills, high level of initiative, flexibility, integrity and confidentiality.
  • Experience in a similar industry and/or exposure to handling Australia-based clients is advantageous.
  • Willingness to assist with BAS, audits and compliance tasks as required.
  • Minimum BYOD / home-office requirements: stable fibre internet (100 Mbps up/down) with backup; laptop or PC with at least 8 GB RAM (16 GB preferred), i5 CPU, Windows 11; dual monitors, webcam and noise-cancelling headset with microphone; work location with minimal distractions.
