Description

  • Manage day-to-day trust accounting for property management clients, including tenant and owner transactions.
  • Perform bank reconciliations, bank deposit follow-up, and troubleshoot reconciliation issues.
  • Process accounting transactions such as vendor credits, receipts/deposits, tenant charges/credits/deposits, owner adjustments, ownership changes, and lease-only payouts.
  • Handle accounts payable tasks: approve bills entered by VAs, post management fees and payouts, and execute vendor payments per client constraints.
  • Prepare and send owner statements and owner disbursements, including reviewing owner statements before sending.
  • Initiate bank transfers, enter corrective journal entries with AE approval, and review issued checks older than 90 days.
  • Manage client communications and inboxes, send weekly update emails, implement routine client communication, and notify the AE of client issues or dissatisfaction.
  • Support ad hoc projects and reviews such as negative/positive FDR review, assist with 1099s, ad hoc reporting (with established process), and other AE-assigned projects.
  • Maintain recurring accounting processes: review management fees for new move-ins, review fee settings on vacant properties, and manage recurring journal entries/recurring bills.

Requirements

  • Background in accounting or proven understanding of basic accounting principles.
  • Real, demonstrable experience with AppFolio (required).
  • Experience with Rentvine (preferred).
  • Strong written communication skills and good verbal communication for client interactions and documentation.
  • Intermediate proficiency in Microsoft Excel and Google Sheets; familiarity with Google Suite products (preferred).
  • Detail-oriented with excellent problem-solving skills and ability to learn new concepts via written and hands-on support.
  • Ability to manage client inboxes, send regular client updates, and escalate issues to Account Executive (AE) as needed.
  • Reliable internet connection and webcam for routine virtual communication and meetings.
  • Availability for full-time work (~40 hours/week) with required overlap hours in Mountain, Central, or Eastern Standard Time; ideal start date: immediate.
  • Willingness to participate in weekly company meetings, set and meet monthly/quarterly SMART goals, and engage in company initiatives.
