Description

  • Own and optimize the Founder’s calendar, inbox, priorities, and follow-ups, acting as a gatekeeper for high-leverage work.
  • Prepare agendas, executive summaries, meeting notes, and action-item breakdowns, and convert discussions into structured next steps.
  • Build, maintain, and optimize a comprehensive task-management system (Kanban or equivalent) to capture 100% of action items and track company-wide initiatives, KPIs, deadlines, and ownership.
  • Run weekly leadership check-ins and operational reviews to maintain alignment, surface bottlenecks, and drive follow-through across teams.
  • Create, document, and maintain SOPs and scalable processes to support operational consistency as the company scales.
  • Track time entries and ensure billing data is submitted accurately and on time; support month-end operational and billing processes.
  • Identify operational gaps and bottlenecks and proactively design and implement solutions to unblock stalled initiatives.
  • Create dashboards and executive-level reports to support decision-making, prioritize initiatives based on impact vs. effort, and provide visibility into open items and completion rates.
  • Represent the Founder internally with professionalism and authority, hold team members accountable respectfully, and serve as a single source of truth between leadership and teams.

Requirements

  • 3–7 years of experience as a Chief of Staff, Senior Executive Assistant, Operations Manager, or Project Manager.
  • Proven experience supporting founders, attorneys, or senior executives.
  • Exceptional written and verbal English; bilingual Spanish–English preferred.
  • Strong ownership mindset with the ability to finish tasks and hold others accountable, high emotional intelligence, and discretion.
  • Extremely organized with strong attention to detail and comfort working in fast-paced, high-growth environments.
  • Experience with project management platforms (ClickUp, Asana, Notion, Monday, Trello, etc.).
  • Proficiency with Google Workspace (Docs, Sheets, Slides), Outlook, Slack, and high-level calendar and inbox management.
  • Ability to build SOPs, dashboards, and executive briefs to translate strategy into operational plans.
  • Experience creating and maintaining task-tracking systems, running operational reviews, and tracking KPIs and deadlines.
  • Bonus: experience with automation tools (Zapier, Make, no-code platforms) and background in tech startups, SaaS, agencies, or legal operations.
