Description

  • Handle daily maintenance requests through phone, email, and tenant portals, and log them in Yardi, AppFolio, or Buildium.
  • Prioritize urgent maintenance issues such as plumbing leaks, HVAC failures, and safety risks.
  • Create, assign, track, and close work orders from intake through completion while meeting SLA timelines.
  • Follow up with tenants and vendors until maintenance requests are fully resolved and confirmed.
  • Schedule and dispatch vendors for repairs and inspections, and coordinate timelines and job progress.
  • Verify vendor availability, licensing, and insurance compliance before assigning work.
  • Review vendor invoices and confirm they align with completed work and approved maintenance tasks.
  • Maintain recurring preventive maintenance schedules, calendars, and logs to reduce emergency repairs.
  • Keep audit-ready records for work orders, vendor documentation, invoices, and compliance requirements.
  • Prepare weekly and monthly reports on open tickets, resolution timelines, maintenance costs, spend trends, recurring issues, and preventive maintenance completion.

Requirements

  • 2+ years of experience in property management or maintenance coordination.
  • Hands-on experience with Yardi, AppFolio, or Buildium.
  • Strong organizational and multitasking ability.
  • Experience with vendor scheduling, invoice review, and maintenance workflows.
  • Proficiency in Microsoft Office or Google Workspace.
  • Experience managing 100+ unit portfolios is preferred.
  • Knowledge of HVAC systems, plumbing, and electrical basics is preferred.
  • Experience with compliance and safety standards is preferred.
  • Background in preventive maintenance programs is preferred.
